Biggin Hill Carpet Cleaners Terms and Conditions
These Terms and Conditions set out the basis on which Biggin Hill Carpet Cleaners provides domestic and commercial carpet cleaning services. By booking a service, the customer agrees to these terms in full. They are designed to create clarity about the carpet cleaning service agreement, including how bookings are made, how payments are handled, when cancellations may be charged, what liability limits apply, and how waste materials are managed in line with UK requirements.
In these Terms, “we”, “us” and “our” refer to Biggin Hill Carpet Cleaners. “You” and “your” refer to the customer, whether an individual, landlord, tenant, agent, or business client. These conditions apply to all standard carpet cleaning services, stain treatment, upholstery add-ons where agreed, and any related work expressly confirmed in writing or by accepted quotation. They do not override any mandatory rights you may have under applicable consumer law.
1. Booking process
A booking for carpet cleaning in Biggin Hill is only confirmed once we have accepted the request and provided written or electronic confirmation. Enquiries may be made through our usual booking channels, but no slot is reserved until confirmation has been issued. We may ask for information about room sizes, access, flooring condition, stain types, furniture movement, parking, water supply, and any other details needed to provide a suitable quotation or estimate.
Any quotation given before inspection is based on the information supplied by you. If the description of the property, carpets, or required work changes before the appointment, we may revise the quotation or decline the booking if the revised work falls outside our usual service scope. The carpet cleaning booking terms require you to ensure that the details you provide are accurate and complete, including any known issues that might affect the cleaning process or price.
We reserve the right to refuse or cancel a booking if the work is unsafe, impractical, or materially different from what was originally requested. This includes, without limitation, severe contamination, unresolved pest issues, excessive soiling, fragile materials unsuitable for wet cleaning, or conditions that create a health and safety concern. In such cases, we may still offer an alternative treatment or rescheduled visit, but this will be subject to separate agreement.
The customer is responsible for ensuring reasonable access to the property at the agreed time. If the premises are shared, rented, managed, or otherwise controlled by a third party, you must obtain the necessary permission for us to attend and carry out the work. We do not accept liability for delays caused by restricted access, unsuitable parking arrangements, missing keys, locked rooms, or any failure to secure entry.
Unless otherwise agreed, our team will carry out a visual assessment on arrival and may adjust the method used to match the carpet type and condition. While we aim to explain any important limitations before work begins, you acknowledge that textile cleaning can reveal pre-existing wear, hidden damage, or colour variation that was not visible during booking. The carpet cleaning terms and conditions UK framework assumes that some variation in outcome is possible even where reasonable care is taken.
If you request the movement of light furniture, you must remove valuables, breakables, electronics, and items that could be damaged or obstruct the work area. We may move items at our discretion, but we are not obliged to move heavy, fixed, or awkward furniture, and we may decline to do so where there is a risk of injury or damage. Any furniture movement provided is done on a reasonable-efforts basis only.
2. Prices and payment
All prices are stated in pounds sterling unless otherwise agreed. Charges may be based on room count, carpet area, item type, stain treatment, minimum call-out, or an agreed fixed quotation. Any additional work requested on the day, or work that becomes necessary due to conditions not disclosed at booking, may be added to the final invoice. The customer agrees to pay for any extra services authorised on site.
Payment is due in accordance with the invoice or booking confirmation. Unless we agree otherwise, payment is required on completion of the service and may be made by accepted electronic or card methods, bank transfer, or another method notified in advance. We may request a deposit for larger jobs, repeat commercial bookings, or appointments scheduled during high-demand periods. Any deposit taken will be set against the final total unless the booking is cancelled in a way that permits us to retain part or all of it under these terms.
You must ensure that payment details are valid and that sufficient funds are available. If any payment is declined, reversed, disputed without proper reason, or not received when due, we may suspend future bookings and recover any reasonable collection costs permitted by law. We also reserve the right to apply interest and charges on overdue sums in line with applicable statutory provisions for business and consumer transactions where lawful.
Any discount, promotion, or special rate applies only if the stated conditions are met. Offers cannot usually be combined unless specifically allowed. Quoted prices may exclude extraordinary items such as heavily soiled carpets, odour treatment, inaccessible locations, or urgent appointments outside normal scheduling. If a quotation is clearly based on a mistaken assumption or pricing error, we may correct it before work begins or decline the booking if the corrected price is not accepted.
Important: a quotation is not a guarantee against every variable. The final charge may differ where the customer requests extra rooms, additional stain work, or other services not included in the original scope. In all cases, we will aim to be transparent and to obtain consent before carrying out chargeable extras. This approach is part of our standard UK carpet cleaning terms and helps avoid misunderstandings.
3. Cancellations, rescheduling and missed appointments
You may cancel or reschedule a confirmed booking by giving reasonable notice. If you cancel with sufficient advance notice, we will usually not charge a cancellation fee, although any non-refundable deposit may be retained if stated at the time of booking. Where notice is short, or where we have already incurred costs such as travel preparation, allocated staff time, or specialist materials, a cancellation fee may apply.
If you are unavailable at the agreed time, or if access is not provided, the appointment may be treated as a late cancellation or missed visit. In such circumstances, we may charge a call-out fee or a proportion of the booked amount to cover lost time and direct costs. Where possible, we may offer an alternative date, but this is not guaranteed and will depend on availability.
We may reschedule or cancel an appointment if there is a reason beyond our reasonable control, such as vehicle failure, illness, severe weather, traffic disruption, equipment breakdown, or unsafe working conditions. If this occurs, we will use reasonable efforts to contact you promptly and rearrange the service. Our liability for delay or cancellation caused by such events is limited to rebooking or refunding any prepayment for the affected portion of the service.
If the property is not ready for cleaning when we arrive, or if the carpets are wet, recently treated, or otherwise unsuitable for immediate work, we may need to rearrange or adjust the service. The customer is responsible for ensuring the area is ready, clear, and safe. This includes keeping pets secure, providing ventilation where appropriate, and allowing adequate drying time after previous treatments or renovations.
For recurring contracts or business accounts, either party may end future bookings by giving notice in line with the agreed service schedule. However, any confirmed appointment already in the diary remains subject to these cancellation provisions unless we agree otherwise in writing. The same applies to professional carpet cleaning terms for landlords, agents, or managed premises where work has been pre-approved but not yet completed.
4. Liability, damage and service limitations
We will provide our services with reasonable care and skill. However, carpet cleaning can carry inherent risks, especially where fibres are delicate, colourfastness is uncertain, dyes are unstable, or prior damage already exists. You acknowledge that certain stains may be permanent or may reappear after drying, and that no cleaning method can guarantee complete removal in every case. The carpet cleaner liability terms therefore limit our responsibility to faults caused by our own proven negligence.
We are not responsible for pre-existing wear, hidden defects, fraying, seam splitting, fibre loss, shrinkage caused by prior installation issues, or discolouration resulting from age, sunlight, moisture, poor maintenance, or prior cleaning attempts. Where we believe a material is at risk, we may refuse a treatment or recommend a lower-risk method. Any advice given is offered in good faith, but final decisions on service selection remain yours.
Except where prohibited by law, our total liability for any claim arising from the service will be limited to the amount paid for the specific service giving rise to the claim. We do not exclude liability for death or personal injury caused by our negligence, fraud, fraudulent misrepresentation, or any other liability that cannot legally be excluded or limited. Nothing in these terms affects your statutory rights as a consumer.
If an issue is identified after completion, you must notify us within a reasonable time so we can inspect the matter. Where a complaint is valid and attributable to our work, we may at our discretion return to rectify the issue, offer a partial refund, or agree another suitable remedy. Any remedy will be assessed fairly and will take into account the condition of the carpet before treatment, the information supplied at booking, and the limitations of the cleaning process.
We are not liable for indirect or consequential losses, including loss of profit, business interruption, missed lettings, or inconvenience, except where such exclusion is not permitted by law. Customers are responsible for protecting valuables, fragile items, and movable property before the appointment. We accept no responsibility for items left in unsafe positions, undisclosed hazards, or damage caused by third-party interference before, during, or after the service.
5. Waste regulations, chemicals and property care
In carrying out carpet cleaning services, we will handle wastewater, residues, and any removed debris in a lawful and environmentally responsible manner. Waste disposal will be managed in line with applicable UK waste regulations, including requirements relating to controlled waste, transport, and disposal routes. We will not knowingly dispose of waste in a way that breaches environmental, public health, or local authority obligations.
Where the work produces contaminated water, fibre residue, extracted debris, or packaging waste, we may retain and dispose of it through appropriate channels or, where suitable, discharge it only in a lawful and safe manner. Customers must not ask us to dispose of prohibited materials, hazardous waste, sharp objects, chemicals, bodily fluids, or any item that requires specialist handling unless this has been expressly agreed in advance and can be lawfully undertaken.
You must inform us before the appointment if the property contains biohazards, damp-related contamination, mould, needle waste, animal waste, or any other material requiring specialist procedures. We may refuse such work or require a separate assessment. The customer is responsible for ensuring that the property is not used to store unlawful or hazardous waste in areas to be cleaned. Any additional disposal costs caused by undisclosed waste may be charged to you where lawful.
We may use detergents, rinsing agents, stain removers, sanitising solutions, and other cleaning products appropriate for the task. By accepting the service, you authorise us to apply products that are reasonably suitable for carpet care, subject to any material instructions you provide before work begins. You should notify us of allergies, sensitivities, or special requirements where relevant. While we aim to reduce residue and excessive moisture, all products should be left to dry as instructed after completion.
If you require evidence of lawful disposal or waste handling for commercial records, you must request this at the time of booking. We may be able to provide a general record of the service, but we are not obliged to produce documentation beyond what is reasonably required by law or contract. Our waste handling policy is designed to support compliance without creating unnecessary administrative burden.
6. General terms
These Terms and Conditions may be updated from time to time. The version in force at the time of your booking will apply to that booking unless a different version is expressly agreed in writing. If any part of these terms is found to be unlawful, unenforceable, or invalid, the remaining provisions will continue in effect to the fullest extent permitted by law.
No failure or delay by us in enforcing any right shall operate as a waiver of that right. Any waiver must be given in writing. You may not transfer your booking or rights under these terms without our consent, although we may assign or subcontract obligations where necessary to perform the service, provided doing so does not materially reduce the standard of care owed to you.
These terms are intended to be read alongside any written quotation, invoice, or booking confirmation. If there is a conflict, any specifically agreed written term relating to price, timing, or service scope will take priority for that booking only. For all other matters, these standard carpet cleaning service terms will apply.
7. Governing law and jurisdiction
These Terms and Conditions are governed by the laws of England and Wales. Any dispute, claim, or matter arising from or connected with the services, this website page, or these terms shall be dealt with exclusively by the courts of England and Wales, except where consumer law gives you a different mandatory right. This governing law provision applies whether the matter concerns booking, payment, cancellation, liability, or waste handling.
By proceeding with a booking, you confirm that you have read, understood, and agreed to these terms. They are written to provide a fair and practical framework for the provision of Biggin Hill Carpet Cleaners services, while maintaining the standards expected of a professional UK cleaning business.
